Job Summary

The role of an Accounts Payable Manager is to effectively manage the accounts payable function, ensure timely and accurate payments to vendors, maintain strong vendor relationships, and contribute to the financial stability and integrity of the organization.

  • Managing the Accounts Payable Process: The Accounts Payable Manager oversees the entire accounts payable process, including receiving and reviewing invoices, verifying and reconciling vendor statements, and ensuring timely and accurate payments.
  • Vendor Management: The Accounts Payable Manager maintains relationships with vendors, including negotiating payment terms, resolving payment discrepancies, and addressing any vendor inquiries or issues.
  • Payment Processing: The Accounts Payable Manager is responsible for processing payments to vendors, which may involve preparing checks, initiating electronic transfers, or coordinating with the finance team for payment approvals.
  • Financial Recordkeeping: The Accounts Payable Manager ensures accurate and up-to-date financial recordkeeping by maintaining detailed records of invoices, payments, and related transactions. This includes reconciling accounts payable balances and preparing periodic reports for management.
  • Compliance and Internal Controls: The Accounts Payable Manager ensures compliance with company policies, accounting standards, and relevant regulations. They implement and maintain internal controls to safeguard company assets and prevent fraud or errors.
  • Team Management: In larger organizations, the Accounts Payable Manager may supervise a team of accounts payable professionals. They provide guidance, training, and performance evaluations to ensure efficient and accurate processing of invoices and payments.
  • Process Improvement: The Accounts Payable Manager continuously evaluates and improves the accounts payable process to enhance efficiency, streamline workflows, and reduce costs. They may identify opportunities for automation, implement new technologies, or suggest process enhancements.

Job Requirements

  • Knowledge of Accounting Principles: Strong knowledge of generally accepted accounting principles (GAAP) and financial processes is essential. This includes understanding accruals, expense recognition, and financial reporting.
  • Technical Skills: Proficiency in using accounting software and enterprise resource planning (ERP) systems is important. Experience with accounts payable automation tools and electronic payment systems can be advantageous. Additionally, familiarity with spreadsheet software for data analysis and reporting, such as Microsoft Excel, is often required.
  • Attention to Detail: Accounts Payable Managers must have a keen eye for detail to accurately review and process invoices, reconcile statements, and identify discrepancies. They should be meticulous in their work to ensure accurate financial recordkeeping.
  • Analytical Skills: Strong analytical skills are necessary to analyze financial data, identify trends, and resolve payment discrepancies. The ability to interpret financial reports and provide insights to management is also valuable.
  • Communication and Collaboration: Effective communication skills are essential for interacting with vendors, internal stakeholders, and team members. Accounts Payable Managers should be able to clearly articulate payment terms, resolve issues, and collaborate with cross-functional teams.
  • Organization and Time Management: Managing multiple invoices, payments, and deadlines requires excellent organizational and time management skills. Accounts Payable Managers should be able to prioritize tasks, meet deadlines, and ensure timely payments.
  • Problem-Solving Abilities: Accounts Payable Managers should possess strong problem-solving skills to address payment discrepancies, resolve vendor inquiries, and implement process improvements. They should be proactive in identifying and resolving issues.
  • Leadership and Team Management: In organizations with a team of accounts payable professionals, leadership and team management skills are necessary. Accounts Payable Managers should be able to provide guidance, motivate their team, and foster a collaborative and efficient work environment.
  • Ethics and Integrity: Accounts Payable Managers handle sensitive financial information and have access to company funds. They should demonstrate high ethical standards, maintain confidentiality, and adhere to internal controls and compliance requirements.

Education

Education: A bachelor's degree in accounting, finance, or a related field is often preferred. Some organizations may consider equivalent work experience in lieu of a degree.

Experience: 10+ years of relevant experience in accounts payable or a related financial role is typically required. This may include experience in managing accounts payable processes, vendor management, and financial recordkeeping.
