Job Summary

We are seeking a detail-oriented and proactive Legal Operations Specialist to support and scale the operational effectiveness of our Legal team. In this role, you will own key contract execution and management processes, support legal technology tools, and serve as a primary point of contact for internal stakeholders on contract-related workflows. You will partner closely with Legal, Sales, IT, Accounting, and other cross-functional teams to ensure contracts are executed efficiently, accurately, and in alignment with established processes and best practices.

Job Requirements

  • Contract Management & Execution

    • Manage the global signature process using e-signature technology, ensuring timely completion and accuracy of all agreements.
    • Oversee agreement filing processes, ensuring documents are organized, accurately labeled, and easily accessible.
    • Conduct contract searches as requested, retrieving and organizing relevant documents for legal review.
    • Provide oversight and serve as the escalation point for the data input team supporting the sales contract tool.
    • Set up and maintain sales contract reporting and dashboards.

    Stakeholder Support & Collaboration

    • Serve as a resource for Legal, Sales, and other teams by addressing queries and providing guidance on signature and contract workflows.
    • Collaborate cross-functionally with Legal, Sales, IT, and Accounting to ensure effective communication and alignment on legal operations processes.
    • Participate in ad hoc legal projects, providing support and contributing to successful outcomes.

    Technology & Process Optimization

    • Partner with the Help Desk to set up CLM access for new employees, providing training and onboarding support as needed.
    • Assist with resolving technology-related issues and inquiries, leveraging tech support liaisons when appropriate.
    • Provide systems training to end users, ensuring a thorough understanding of tool functionalities.
    • Conduct regular check-ins with technology partners to maximize the value of selected platforms.
    • Update and maintain operations playbooks in the contracts space, ensuring they reflect current processes and best practices.
    • Stay informed on industry trends and best practices in legal operations, recommending process improvements where applicable.

Qualifications

Required:

  • Bachelor's degree in Business Administration, Legal Studies, or a related field (or equivalent work experience).
  • 3+ years of experience in legal operations or a similar role, preferably in a corporate environment.
  • Familiarity with contract lifecycle management (CLM) systems (e.g., Apttus/Conga) and electronic signature platforms (e.g., Adobe Sign).
  • Strong attention to detail and organizational skills, with the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills, with the ability to engage with stakeholders at all levels of the organization.
  • Strong problem-solving and analytical skills, with the ability to identify issues and propose solutions.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with document management systems.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Willingness to work flexible hours to support a dynamic field Legal and Sales organization, especially during high-volume periods such as quarter close.

  • Flexibility and adaptability in the face of changing priorities and deadlines.
  • A growth mindset with a willingness to learn and adopt new technologies and tools related to legal operations.
