Contracts Administrator

We are seeking a detail-oriented and proactive Legal Operations Specialist to support and scale the operational effectiveness of the Legal team. In this role, you will own key contract execution and management processes, support legal technology tools, and serve as a primary point of contact for internal stakeholders on contract-related workflows. You will partner closely with Legal, Sales, IT, Accounting, and other cross-functional teams to ensure contracts are executed efficiently, accurately, and in alignment with established processes and best practices.
Job Requirements
- Manage the global signature process using e-signature technology, ensuring timely completion and accuracy of agreements.
- Oversee the agreement filing process, ensuring documents are organized, accurately labeled, and easily accessible.
- Assist the Legal and Sales teams by addressing queries and providing guidance on the signature process.
- Conduct contract searches as requested, retrieving and organizing relevant documents for legal review.
- Provide oversight and be the escalation point for the data input team into the sales contract tool
- Set up and maintain any sales contract reporting and dashboards
- Update and maintain the operations playbooks in the contracts space, ensuring it reflects current processes and best practices.
- Collaborate with the Help Desk to set up CLM access for new employees, providing training and support as needed.
- Assist with resolving technology related problems and queries, using our tech support liaisons when needed.
- Participate in ad hoc legal projects, providing support and contributing to their successful completion.
- Provide applicable systems training to users, ensuring users have a thorough understanding of the system's functionalities.
- Have regular check ins with technology partners to ensure we are maximizing the value of our selected technologies
- Stay updated on industry trends and best practices related to legal operations, suggesting process improvements when necessary.
- Collaborate with cross-functional teams, including Legal, Sales, IT, and Accounting, to ensure effective communication and alignment on legal operations.
Education
- Bachelor's degree in Business Administration, Legal Studies, or a related field (or equivalent work experience).
- Proven experience in legal operations or a similar role, preferably in a corporate environment.
- Familiarity with contract management systems, such as Apttus, and electronic signature platforms, such as AdobeSign.
- Strong attention to detail and organizational skills, with the ability to manage multiple tasks and prioritize effectively.
- Excellent communication skills, both written and verbal, with the ability to interact with individuals at all levels of the organization.
- Strong problem-solving and analytical skills, with the ability to identify issues and propose solutions.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with document management systems.
- Ability to handle sensitive and confidential information with discretion and maintain a high level of professionalism.
- Strong interpersonal skills and the ability to work well independently and collaboratively within a team.
- Flexibility and adaptability to changing priorities and deadlines.
- Willingness to learn and adapt to new technologies and tools related to legal operations.
Compensation:
The target salary range for this position is 92,650 - 115,000 USD. The salary offered will be determined by the candidate's location, qualifications, experience, and education and may be outside of this range. Final compensation packages are competitive and in line with industry standards, reflecting a variety of factors, and include a comprehensive benefits package. This may cover Health Insurance, Life Insurance, Retirement or Pension Plans, Paid Time Off, various Leave options, Performance-Based Incentives, employee stock purchase plan, and/or restricted stocks (RSU’s), with all offerings subject to regional variations and governed by local laws, regulations, and company policies. Benefits may vary by country and region, and further details will be provided as part of the recruitment process.
